Hellenic Mission is an outdoor, hiking, and mountaineering brand based in Thessaloniki, Greece.

These Terms of Use and Participation Terms apply to the use of our website, our communication channels, and participation in any hiking, trekking, mountaineering, expedition, training, travel or outdoor activity organized, promoted or coordinated by Hellenic Mission.

By using our website, submitting a participation request, booking an activity, paying a deposit or joining any activity, you confirm that you have read, understood and accepted these Terms.

For the purposes of these Terms, every trip, hike, trek, mountain ascent, expedition, training session, tour or outdoorexperience may be referred to as an “Activity.”

1. Nature of the Activities

Each participant is responsible for assessing whether they are physically, mentally, and technically able to join the selected Activity.

Before booking, participants must carefully read the Activity description, including difficulty level, distance, elevation gain, required fitness level, technical requirements, duration, equipment list, meeting point and any special notes.

If a participant is unsure whether an Activity is suitable for them, they must contact the Hellenic Mission before booking.

2. Participant Responsibility

Each participant is responsible for assessing whether they are physically, mentally and technically able to join the selected Activity.

Before booking, participants must carefully read the Activity description, including difficulty level, distance, elevation gain, required fitness level, technical requirements, duration, equipment list, meeting point and any special notes.

If a participant is unsure whether an Activity is suitable for them, they must contact Hellenic Mission before booking.

3. Health and Medical Conditions

Participants are responsible for ensuring that their health allows them to safely participate in the selected Activity.

Any medical condition, injury, allergy, medication, fear, limitation or other important information that may affect participation must be disclosed to Hellenic Mission before the Activity.

Hellenic Mission may refuse participation if, in its reasonable judgment, a participant’s health condition, fitness level, equipment or behavior may place themselves or the group at risk.

For demanding, high-altitude, technical or multi-day activities, Hellenic Mission may request additional information or a medical confirmation before accepting participation.

4. Age Requirements

Participants must normally be at least 18 years old.

Minors may participate only where the specific Activity allows it and only with written consent from a parent or legal guardian.

Depending on the Activity, a minor may also be required to be accompanied by a parent, legal guardian guardian or responsible adult.

Hellenic Mission reserves the right to set different age limits for specific Activities depending ondifficulty, terrain, altitude, duration or safety requirements.

5. Equipment

Each participant must bring the required equipment listed in the Activity description.

Required equipment may vary depending on the Activity, season, weather, altitude and technical difficulty.

Participants who arrive without the required equipment may be refused participation for safety reasons.

In such cases, no refund is guaranteed unless otherwise stated in the specific Activity policy.

Hellenic Mission may provide or arrange certain group or technical equipment when clearly stated in the Activity description. Any equipment provided must be used carefully and returned in good condition.

6. Booking and Participation Requests

A place in an Activity is confirmed only after the required booking process has been completed
and any required payment or deposit has been received.

Submitting a participation request does not automatically guarantee a place.

Hellenic Mission reserves the right to accept or reject a participation request based on availability, suitability, safety requirements, experience level, equipment, health information, or any other relevant factor.

For some Activities, participants may be asked to provide additional information before their Booking is confirmed.

Hellenic Mission reserves the right to correct obvious pricing mistakes or update prices before a Booking is confirmed.

Important: The exact inclusions and exclusions of each Activity will be stated on the specific Activity page or booking information.

8. Deposits

Some Activities may require a deposit in order to secure participation.Any included and excluded services will be described in the specific Activity details.

Unless otherwise stated in the specific Activity description, deposits may be non-refundable, especially when they are used to secure guides, accommodation, transport, permits, suppliers or other fixed costs.Unless clearly stated otherwise, the price may not include all personal or travel-related costs.

If an Activity has a different deposit or refund policy, this will be stated in the Activity details or communicated before booking.

9. Cancellation by the Participant

If a participant wishes to cancel their participation, they must inform the Hellenic Mission as soon as possible in writing.

The cancellation policy may vary depending on the Activity, destination, suppliers, accommodation, transport arrangements and other fixed costs.

Unless otherwise stated in the specific Activity description, refunds are not guaranteed for late cancellations, no-shows or cancellations close to the Activity date.

For multi-day trips, international expeditions or Activities involving third-party suppliers, stricter Cancellation terms may apply.

10. Cancellation or Changes by Hellenic Mission

Hellenic Mission may cancel, postpone, modify or adjust an Activity when necessary due to
safety, weather, operational or other important reasons.

If Hellenic Mission cancels an Activity before it starts, participants may be offered an alternative date, alternative Activity or refund, depending on the circumstances and any non-refundable costs already paid to third parties.

Hellenic Mission is not responsible for additional personal expenses caused by cancellation or changes, such as flights, hotels, transport, equipment purchases or other personal arrangements.

Participants are strongly advised not to make non-refundable travel arrangements unless the Activity has been confirmed.

11. Weather and Route Changes

Outdoor and mountain Activities are highly dependent on weather, terrain and safety conditions.

The route, schedule, summit attempt, duration, meeting point or itinerary may change before or during the Activity if the leader, guide or coordinator considers it necessary.

Safety is always the priority.

A change of route, shortened itinerary, alternative destination or cancellation of a summit attempt does not automatically entitle participants to a refund.

Participants understand that reaching a summit or completing a specific route can never be guaranteed.

12. Minimum Number of Participants

Some Activities may require a minimum number of participants in order to take place.

If the minimum number is not reached, Hellenic Mission may cancel, postpone or adjust the Activity.

Participants will be informed as soon as reasonably possible if this happens.

13. Meeting Point and Punctuality

Participants must arrive at the meeting point on time.

The meeting point, time and other important instructions will be provided before the Activity.

If a participant is late, Hellenic Mission is not required to delay the group.

Late arrival or failure to appear at the meeting point may be treated as a no-show, and no refund is guaranteed.

14. Conduct During the Activity

Participants must behave respectfully towards the leader, guide, coordinator, other participants, local communities and the natural environment.

Participants must follow all safety instructions given by the Activity leader, guide or coordinator.

Hellenic Mission may remove or exclude a participant from an Activity if their behavior is unsafe, disrespectful, aggressive, disruptive or puts themselves or others at risk.

In such cases, no refund is guaranteed, and the participant may be responsible for any additional costs caused by their removal.

15. Alcohol, Drugs and Unsafe Behavior

Participants must not take part in an Activity under the influence of alcohol, drugs or any substance that may affect their judgment, balance, physical ability or safety.

Hellenic Mission reserves the right to refuse participation or remove a participant from an Activity if there is concern about unsafe behavior.

16. Environmental Responsibility

Participants must respect nature and follow responsible outdoor practices.

Participants must not leave rubbish behind, damage plants, disturb wildlife, create unnecessary noise or act in a way that harms the natural environment.

Where applicable, participants must follow local rules, national park regulations, protected area guidelines and instructions from local authorities.

Hellenic Mission supports responsible mountain culture and expects all participants to do the same.

17. Travel Documents and Permits

For international trips, expeditions or Activities outside Greece, participants are responsible for having valid travel documents, passports, visas, permits and any other required documentation.

Participants are also responsible for checking entry requirements, health requirements, and travel restrictions for the destination country.

Hellenic Mission is not responsible if a participant is unable to travel or participate due to missing, invalid or incorrect documents.

18. Insurance

Participants are strongly advised to have appropriate personal insurance for the Activity they join.

For hiking, trekking, mountaineering, high-altitude or international Activities, participants should
consider insurance that covers rescue costs, medical treatment, repatriation, trip cancellation, lost or damaged equipment and personal liability.

For certain Activities, Hellenic Mission may require proof of suitable insurance before accepting participation.

Hellenic Mission is not responsible for costs that should be covered by the participant’s personal insurance.

19. Risks and Liability

Participants understand and accept that outdoor and mountain Activities involve risks.

Hellenic Mission will take reasonable steps to reduce risks, but it cannot eliminate all risks.

By participating, each participant accepts the natural risks connected with outdoor and mountain activities.

Nothing in these Terms excludes liability where such exclusion is not permitted by law.

Participants are responsible for their own belongings, equipment, documents, money, electronics and personal items.

Participants should take care of their belongings during transport, accommodation, breaks and the Activity itself.

21. Photos, Videos and Media

During Activities, Hellenic Mission may take photos and videos for promotional, educational, social media or website use.

By joining an Activity, participants understand that they may appear in group photos or videos.

If a participant does not wish to appear in photos or videos, they must inform Hellenic Mission before the Activity.

Hellenic Mission will make reasonable efforts to respect such requests.

Participants may take personal photos and videos during the Activity, provided this does not delay the group, create safety issues or disturb other participants.

Commercial use of photos, videos or content from Hellenic Mission Activities requires prior written permission.

professionals.

Participants are responsible for any personal medical, rescue, evacuation or related costs unless covered by insurance or otherwise required by law.

After the Activity, complaints should be submitted in writing within a reasonable time.

Hellenic Mission will review complaints fairly and respond as soon as reasonably possible.
